Artists in Marcato

Every year, the most important people at the festival are the artists. The numbers fluctuate, but we generally end up with about 600 individuals working in around 125 acts. Most artists are programmed multiple times throughout the festival, sometimes by multiple programming staff.

We use Marcato as a hub for every single bit of information about our artists. Program booklet, website and marketing assets are all pulled from the database. Their tickets (and any extra purchases) are tied to their artist profiles. Their financial information and contracts run through the system. We use Marcato to create schedules for the stages which populate individual itineraries for the artists, and all of their tech data is tied to this too. Their cottage bed allocations and any travel plans are also stored in the system. There's SO MUCH data tied to artists in Marcato. It can get really complicated, but hopefully we can give you a good introduction!

Choosing artists

EOIs

Every year the timeline begins when we open artist applications (also called EOIs)1) We usually start working on this in June or July. First, we decide on what questions we'd like answered in our EOIs so we can make informed decisions about programming. Artist applications/EOIs are then on our website for about 8 weeks. It is possible for programmers to start the programming process as soon as the applications start rolling in.

Curating

It is both possible and encouraged to curate your program! An artist does not need to fill in an EOI in order for you to program them. There's just a bit of admin required to add them to the database (see the details below).

Notifying artists

Please see information on the Artist Info Forms we use to gather the integral data we need to present the artist at the festival. We send this to artists when they are accepted.

Declines

You can set declined or to-be-declined artists as “Inactive”. More info here.

There are multiple ways to add curated artists to the database. Almost too many!

Manually adding directly to the database

We changed the name of the artist applications to EOIs a few years ago. At this time we also changed the process significantly, mainly by making the initial application much shorter. We used to ask artists to fill out everything required at application time, which included names of all personnel, tech sheets, and lots more. We changed it so that we only ask successful acts to fill in this huge amount of info. The 2020 EOIs mostly just asked for marketing information, number of personnel, and some notes. We review the EOI process every year and are always open to suggestions.
